
States renew social work licenses on different anchors and cycles: Texas by birth month, Massachusetts by birthday, Illinois on November 30 of odd years, New York and Michigan every three years. Keep one master record, set reminders at six months, 90 days and 30 days, verify each renewal online, and map each CE course to every license.
A clinician with one license renews when the board's email arrives. A clinician with four licenses learns, usually the hard way, that the emails arrive at different times, go to old addresses, and land in spam.
Why the dates never line up
States choose renewal dates by different rules. A few examples from current board rules:
- Texas: the last day of your birth month, every two years. The first period may be short.
- Massachusetts: your birthday, every two years, with the first license running at least 24 months.
- Illinois: November 30 of odd-numbered years for every social worker.
- Florida: a fixed biennial date for the profession; current LCSW licenses expire March 31, 2027.
- DC: a two-year cycle with a renewal window that last ran May through July 2025.
- New York: three-year registration periods.
- Michigan: a three-year cycle.
Put a Texas, Illinois and New York license together and you have three different cycle lengths and three different anchors. Nothing will ever align, and that is fine as long as the system does not depend on memory.
The system that works
1. One master record
Keep a single sheet with, for each license: state, title, number, issue date, expiration date, cycle length, CE hours required, mandatory topics, the board's renewal portal, and the email address the board has on file. Most missed renewals trace back to the last column.
2. Three reminders per license
- Six months out: check CE progress against that state's requirements, not your general total.
- Ninety days out: confirm the renewal window is open or when it opens, and whether fingerprints or a background check are due this cycle (Florida, for example, charges for fingerprint retention at renewal when it is expiring).
- Thirty days out: renew. Do not wait for the last week; portals go down and payments fail.
3. Confirm, do not assume
After renewing, check the board's public license lookup and save a screenshot with the date. A submitted renewal that is held for a screening question or a missing CE attestation can leave you expired without notice.
4. Track CE once, map it many times
Log each course once with its date, hours, provider and approval (ASWB ACE, a state board approval, a university). Then map it to every license it satisfies. Our post on CE for multiple licenses covers which courses travel and which do not.
What lapsing actually costs
The consequences differ by state, and some are harsh:
- Massachusetts treats you as unlicensed the day after expiration. You can reinstate within a year with fees, but after two years you must retake the ASWB exam.
- California says practicing on an expired license is illegal, you cannot be paid by clients or insurers for that time, and a license not renewed within three years is canceled.
- Texas treats a license delinquent more than 12 months as expired, after which you apply for reinstatement.
- Florida moves an unrenewed license to delinquent status, and one not renewed by the end of the next cycle becomes null and void.
And a lapse in one state can ripple: Medicare and commercial payers check the license on file, and some boards ask about lapses elsewhere. If one has already happened, see reinstating a lapsed license.
Should you drop a license instead?
Each license costs a renewal fee, CE time and admin. If you have not had a client in a state in two years and do not expect one, look at that state's inactive or retired status before letting it lapse. Inactive is usually cheaper and easier to reactivate than reinstating an expired license. If the compact eventually covers the states you need, some of these licenses may become unnecessary, but nobody can get a multistate license yet, so do not drop anything on that basis.

Common questions
- What happens if one of my social work licenses lapses?
- It depends on the state. Massachusetts treats you as unlicensed immediately and requires a new exam after two years. California cancels a license not renewed within three years of expiration.
- Can I put a license I rarely use on inactive status?
- Many states offer inactive or retired status, often cheaper than active renewal and easier to reactivate than an expired license. Check that state's reactivation requirements first.
- Should I drop licenses and wait for the compact?
- No. No multistate social work license has been issued yet, and the Commission projects its data system for spring 2027. Keep the licenses you need until the compact is actually operating.
